How EnginePro collects, uses, shares and protects personal and employee data across our web platform and mobile apps.

Last updated: October 8, 2026

Introduction

This Privacy Policy explains how PRITECH, the company that provides EnginePro (“EnginePro”, “PRITECH”, “we”, “us”), collects, uses, shares and protects information when you use our web platform and mobile applications (together, the “Services”). EnginePro is a human resources and workforce management platform that employers use to manage their teams.

Who we are

EnginePro provides HR, attendance, leave, payroll, tasks, tickets, reminders, reporting and performance tools to organisations of all sizes. Your employer or company administrator creates your account and decides which features are available to you.

Scope

This policy applies to the EnginePro web platform and the EnginePro mobile apps for iOS and Android, including their notifications. The data we process depends on the features your employer enables.

Data we collect

Depending on the features your employer enables and how you use EnginePro, we may process the following. Not all of it applies to every user.

  • Account information: Name, email, phone number, employee ID, company, department and job title.
  • Sign-in data: Login credentials, session data and access tokens that keep you signed in securely.
  • Employee profile: Address, date of birth, employment details and emergency contacts, where your employer enables them.
  • Attendance: Clock-in and clock-out times, breaks, shifts, schedules and overtime. Your device’s location at the moment you clock in, clock out or take a break.
  • Leave: Leave requests, types, reasons, approvals and any attachments you upload — for example a doctor’s note for sick leave, if your employer’s process asks for one.
  • Payroll: Payslips and salary-related records, only if your employer enables payroll.
  • Tasks and tickets: Assigned tasks, ticket content, comments and status history.
  • Reminders: Reminder titles, dates, categories and statuses.
  • Performance: Goals, KPIs, reviews, feedback, 1:1 meetings, notes, strengths and focus areas.
  • Device and technical data: Device model, operating system, app version, a random identifier the app creates when it is installed (used for push notifications and biometric sign-in), IP address and server logs. If you set up biometric sign-in with an older version of the app, it may instead use the identifier your phone’s operating system gives the app. We do not collect the name you gave your device.
  • Crash reports and diagnostics: If the app crashes or hits an error, a crash report with technical details (such as device model, operating system, app version, memory and storage state) is sent to us together with your numeric user and company IDs. See “Crash reports” below.
  • Notifications: Push notification tokens and your notification preferences, such as whether notifications may appear on your lock screen.
  • Files and documents: Documents and images that you or your administrators upload.
  • Usage and security logs: Activity, audit logs and security logs.
  • Support: Messages you send to support and related troubleshooting information.

Sensitive data

EnginePro may process sensitive employment information, such as identification documents or medical leave documents, only when your employer configures and provides it. We process that data on your employer’s behalf and instructions, and we take extra care with it.

How we use data

  • Providing app features such as attendance, leave, payroll, tasks, tickets, reminders and performance
  • Creating and managing accounts and sign-in
  • Delivering notifications you or your employer have set up
  • Keeping the Services secure, preventing fraud and abuse, and keeping audit logs
  • Troubleshooting and improving the Services
  • Providing customer support
  • Meeting legal and contractual obligations

We do not use your data for advertising, we do not sell it, and we do not track you across other companies’ apps or websites.

Crash reports

The app uses Google Firebase Crashlytics to tell us when it crashes or hits an unexpected error, so we can find and fix the problem.

  • What a report contains: The type of error and where in the app’s code it happened, device model, operating system, app version, memory and storage state, a random installation identifier, and your numeric user and company IDs.
  • What it never contains: Your name, email, password or session token. Error messages are removed on your device before a report is sent, because they can contain text from your records, such as names or leave details.
  • Why we collect it: Our legitimate interest in keeping the app working and secure for you and your employer. Crash reports are not used for advertising, profiling or monitoring your work.
  • How long we keep it: Crash reports are deleted automatically after 90 days.
  • Your choice: You can object to crash reporting at any time by emailing [email protected]. Development builds of the app never send crash reports.

Legal bases

Where the law requires a legal basis, we rely on performance of a contract (including our contract with your employer), legal obligations, our legitimate interest in operating and securing the Services, and your consent where required, such as for device permissions. For most employee data, your employer decides the purposes and legal bases as the data controller.

Data sharing

We do not sell personal data. We share data only as needed for the purposes in this policy, with:

  • Your employer and its authorised administrators
  • Service providers acting on our behalf, such as cloud hosting, email delivery, push notifications (Google Firebase Cloud Messaging and Apple Push Notification service), crash reporting (Google Firebase Crashlytics) and customer support tools, under appropriate agreements
  • Authorities, where the law requires it

Your employer and EnginePro

For most employee data, your employer is the data controller and EnginePro is a data processor acting on its instructions. For limited data we determine ourselves, such as account and operational data, EnginePro may act as a controller. If you ask to exercise your rights over data your employer controls, we may pass your request to your employer or act on its instructions.

Third-party service providers

Service providers help us operate the Services under appropriate agreements. See our Subprocessors page for categories.

App permissions

The app asks for these permissions only when a feature needs them. You can change them at any time in your device settings.

  • Location: The app reads your device location when you clock in, clock out or take a break, and sends it with that attendance record. It can also show your current location on the attendance screen when you refresh it. Used only while the app is open; never collected in the background or continuously. You can decline the permission in your device settings.
  • Photos and files: Only when you choose a document or image to attach to a leave request, task or other item, or choose to save or share a document, such as a payslip, from the app.
  • Notifications: To send reminders, shift alerts, leave updates, task and ticket updates, and approval requests. On Android, the app keeps notifications off your lock screen by default; you can change this in the app under Settings → Notifications. On iPhone, iOS decides what appears on the lock screen (device Settings → Notifications → Show Previews).
  • Face ID, Touch ID or fingerprint: Only if you turn on biometric sign-in. Your biometric data stays on your device and is never sent to us.
  • Storage (older Android): Only on Android 9 and earlier, to save a payslip you download to your device.
  • Internet: To connect securely to your company’s EnginePro workspace.

Camera

To upload employee profile photos, HR documents, leave attachments and task or ticket attachments, only when you choose to add them.

Push notifications

If enabled, we use push notification tokens to deliver reminders, shift alerts, leave updates, task and ticket updates, and approval notifications. You can manage notification preferences in the app or your device settings.

Location data (if enabled)

When your employer enables attendance location capture, the app may send your location with a clock-in, clock-out or break record. It may also show your current location when you refresh the attendance screen. Location is used only while the app is open, never in the background or continuously.

Camera, photo and document uploads

Camera and file access let you upload profile photos, HR documents, leave attachments and task or ticket attachments when you choose to add them.

Data retention

We keep data for as long as needed to provide the Services, meet legal obligations, resolve disputes and enforce agreements. Your employer and applicable law often decide how long employee records are kept. Crash reports are deleted after 90 days.

Account and data deletion

Your employer creates and manages your EnginePro account. To delete your account, contact your company administrator, or email us at [email protected] and we will work with your employer on the request. You can also ask us to correct, export, restrict or delete your personal data. You can also use our Account Deletion Request page or Data Deletion Request page.

Some employment records may need to be kept by your employer for legal, payroll, tax or compliance reasons. We aim to respond to requests within 30 days.

Your rights

Depending on where you live, you may have the right to access, correct, delete, export or restrict processing of your personal data, and to object to some processing. To use these rights, contact us. Where your employer is the controller, we may pass your request to them.

You also have the right to complain to a data protection authority, such as the authority in the country where you live or work. In Kosovo, this is the Information and Privacy Agency.

Children’s privacy

The Services are for employers and their workforce and are not directed to children. We do not knowingly collect personal data from children. If you believe a child has given us data, contact us so we can address it.

International transfers

Your data may be processed in countries other than your own. When we transfer personal data internationally, we use safeguards required by applicable law.

Security

We protect data with role-based access control, encryption in transit, secure cloud infrastructure, audit logging and least-privilege access. The app blocks screenshots and screen recording on payroll and account security screens. If you turn on biometric sign-in, its credential is kept in your device’s secure storage (Keychain or Keystore).

Google Play Data Safety summary

Consistent with this policy, EnginePro may collect personal info, app activity, app info and performance, device or other IDs, photos and files you upload, and location if attendance location capture is enabled. Data is used for app functionality, account management, HR workflows, security, diagnostics and support. Data is encrypted in transit, users may request deletion, and access is controlled by role-based permissions.

Apple App Privacy summary

Data linked to the user may include contact info, identifiers, user content, usage data, diagnostics, location (if enabled), and employment data processed for app functionality. We do not use data for advertising or track you across other companies’ apps or websites.

Changes to this policy

We may update this policy from time to time. We will change the “last updated” date and, where appropriate, give additional notice.
